The John Wayne Cancer Institute
The John Wayne Cancer Institute (JWCI) at Saint John's Health Center in Santa Monica was a leading cancer research institution dedicated to advancing the understanding and treatment of melanoma and other solid tumor cancers. Its clinical bio-repository — a systematically organized collection of biological specimens linked to patient clinical data — was a foundational asset for the Institute's research programs.
Managing a clinical bio-repository is an inherently complex data problem. Specimens must be tracked from collection through processing, storage, and use in research protocols. Every specimen has a chain of custody. Linking specimens to patient clinical data requires strict access controls and compliance with HIPAA and research data governance standards. The software infrastructure must be as rigorous as the science it supports.
"A bio-repository is only as useful as its data integrity. If you can't trust the chain of custody for every specimen, the research built on that data is compromised."
Framework Solutions as Original Architect
Framework Solutions designed and built the original clinical bio-repository database system for JWCI from the ground up. The architecture needed to satisfy two sets of requirements simultaneously: the operational needs of laboratory staff managing thousands of specimens, and the research needs of scientists querying specimen data to build study cohorts and analyze outcomes.
The data model was designed around specimen lifecycle — from initial collection in the clinic, through laboratory processing and aliquoting, to long-term cryogenic storage, and finally to research use and deaccession. Every state transition is recorded with a timestamp, the identity of the user who performed the action, and relevant metadata, creating a complete and auditable chain of custody for every specimen in the repository.
System Capabilities
- Full specimen lifecycle tracking — collection through deaccession
- Chain of custody audit trail for every specimen
- Patient clinical data linkage with HIPAA-compliant access controls
- Cryogenic storage location management and inventory
- Research protocol management and specimen allocation
- Cohort query builder for research study design
- Regulatory compliance reporting
- Barcode-based specimen identification and tracking
Specimen Tracking at the Laboratory Level
Laboratory workflows require precise, fast interfaces that minimize the risk of data entry errors during busy collection and processing sessions. The system's laboratory module supports barcode-based specimen identification, allowing lab staff to scan rather than manually enter specimen IDs at every step — a critical error reduction mechanism when staff are handling multiple specimens simultaneously.
The storage management module tracks the physical location of every specimen in cryogenic freezers down to the rack, box, and position level. When a specimen is needed for a research protocol, the system provides exact retrieval location and generates a pick list, minimizing the time freezers are open and reducing the risk of temperature excursions that could compromise specimen integrity.
Transition to Providence Health and Services
When JWCI was acquired by Providence Health and Services — one of the largest Catholic health systems in the United States — the bio-repository database transitioned to Providence's broader research infrastructure. Framework Solutions has continued as the software development partner, evolving the system to meet Providence's data governance requirements while preserving the specimen data and research history accumulated during the JWCI years.
The transition required careful data migration planning to ensure that no specimen records, clinical linkages, or chain of custody data was lost or corrupted in the move to Providence's environment. Framework managed this migration with zero data loss, maintaining the integrity of decades of specimen records.
The Broader Mission
Building software for cancer research is work that carries weight beyond normal enterprise software development. The specimen data managed by this system underpins published research that informs how physicians treat cancer patients. The integrity of the software directly affects the integrity of the science. Framework Solutions has approached this engagement with the seriousness that responsibility demands — building systems that researchers and clinicians can trust completely.
